We’re hiring: Executive Administrator

Have you worked as a Personal Assistant? Do you have a tourism degree or diploma? If so then this is the position for you.

1. Background:

In order to fulfil SATSA’s ambitious growth plan, dedicated resources and continued effort are required. The SATSA management team is looking for a detail orientated and well organised Executive Administrator to provide the necessary administrative support to achieve required growth.

The successful incumbent will have a proven track record offering administrative support at management level. They will deal with logistical and operational requirements for head office, as set out below, and will be responsible for providing executive support to both the CEO and COO.

2. Responsibilities

Executive Support

• All administrative tasks for management team (i.e. typing, filing, preparing letters and presentations)
• Acting as the point of contact between management team and internal/external stakeholders
• Managing stakeholder databases
• Maintain diary, arrange meetings and appointments and provide reminders
• Prepare agendas and take dictation and minutes accurately
• Coordination of Chapter, Exco and all other relevant meetings
• Travel management for head office and Exco
• Conduct desktop research and compile basic statistical reports

Office Administration

• Maintaining office efficiency and services
• Overseeing office budget
• Managing office supplies and research advantageous deals or suppliers
• Reviewing and approving supplier requisition
• Develop and carry out an efficient documentation and filing system

3. Key Skills / Attributes

• Microsoft Office (Excel, PowerPoint, Word)
• Excellent verbal, written and listening skills including good interpersonal skills
• Strong organisational skills
• Great time management skills
• Attention to detail
• Reporting/research skills
• Flexibility and adaptability
• Ability to multitask
• Ability to work in pressurised environment

4. Minimum Requirements

• Previous clerical, secretarial or research experience
• Contract/Supplier management (basic office services)
• Inventory control (office equipment, stationery, etc.)
• Office budget management
• Travel management
• Knowledge of the tourism industry an advantage
